This quarter, we dug into the data to see who are the top performing neuropsychiatry sites on Power and what sets them apart. We looked at these key metrics:
- Total screening visits booked
- % of qualified referrals with medical records booking a screening visit
- Time to first outreach
It’s clear that the best sites are doing a few things differently, and we wanted to share what we’ve learned.
Top 15 Neuropsychiatry Sites in Patient Responsiveness
Q3, July 1-Sept 30 2024

Lessons from the Top Sites from Q3, 2024
1. Fast Outreach Matters
Patients are most engaged the day they apply, which makes timing crucial. Top-performing sites prioritize quick follow-up—often reaching out within hours. This simple practice takes advantage of the window when patients are most receptive and curious about the study.
2. Using Data Effectively
Sites that perform well consistently prepare before contacting patients. They review patient medical summaries that combine responses from pre-screeners and medical records, giving them a clear understanding of eligibility before making the call. This not only saves time but also ensures conversations with patients are productive and focused.
3. Open, Timely Communication
Questions are inevitable during recruitment, and how quickly they’re answered can make or break the process. The top sites are proactive in responding to patients’ concerns, often using tools that allow for direct communication and fast follow-ups. This responsiveness helps maintain trust and keeps patients engaged.
4. Simplifying the Scheduling Process
Barriers to scheduling can discourage patients from moving forward. High-performing sites remove these obstacles by offering flexible, patient-friendly scheduling options. When patients can choose a convenient time without hassle, they’re far more likely to commit to a screening visit.
5. Monitoring Key Metrics
The best sites incorporate a few key KPIs to measure recruitment success:
- Time to first contact: Demonstrates urgency and efficiency in responding to patient interest.
- Success at booking screening visits: A direct reflection of outreach and follow-up efforts.
The data shows that small but intentional changes can make a big difference in patient recruitment. Speed, preparation, and thoughtful communication are all practices that these sites prioritize, and their results speak for themselves.
Sites require tools that allow them to incorporate these practices into their recruitment process. At Power, we focus on building tools that will help sites work efficiently. If you’d like to learn more, please shoot me a note at brandon@withpower.com.
